1) When I use the website what information is collected?
Our website and our web hosting company will collect and store usage information about your visit to our website. We use this information for analytical purposes to make our site more accessible to visitors.
Specifically, we may record:
- The name of the domain from which you access the Internet.
- The Internet address of the website from which you linked directly to our site, if any, IP address. This is not your email address.
- Geographical location

2) What third party data processors will collect this data and how will it be used?
Google Analytics, WordPress, Mailchimp and 123 Reg will collect this data. This usage data may be processed for the purposes of analysing the use of our website and our services. The legal basis for this processing is our legitimate interests, namely monitoring and improving our website and services for customer benefit.
3) What platform does your blog use and what data does it collect?
We use a third party service, WordPress.com, to publish our blog, which is run by Automattic Inc. We use a standard WordPress service to collect anonymous information about users’ activity on the site, for example the number of users viewing pages on the site, to monitor and report on the effectiveness of the site and help us improve it. WordPress requires visitors that want to post a comment to enter a name and email address. For more information about how WordPress processes data, please see Automattic’s privacy notice
4) If I send an email from the site what happens to that data?
Should you choose to contact us using the contact form on our Contact Us page or any email link, none of the data that you supply will be stored by this website or passed to / be processed by any of the third party data processors. The data will be collated into an email and sent directly to us over the Simple Mail Transfer Protocol (SMTP). Our SMTP servers are protected by SSL meaning that the email content is encrypted before being sent across the internet. The email content is then decrypted by our local computers and devices.
We may process information contained in any enquiry you submit to us regarding goods and/or services. The enquiry data may be processed for the purposes of offering, marketing and selling relevant goods and/or services to you. The legal basis for this processing is consent OR the performance of a contract between you and us and/or taking steps, at your request, to enter into such a contract.

You will be able to change your mind at any time by clicking the unsubscribe link in the footer of the emails you receive from us or if you need to change or modify information previously provided you can contact us via the website contact buttons or send an email directly to email@example.com.

10) If I make a payment on the website how am I protected?
We take site security seriously.
We have protected our website with SSL certification. This protects information as it travels across computer networks. SSL is essential for protecting our website as it provides privacy, critical security and data integrity.
We also have security policies to protect the personal data that we have under our control from: - unauthorised access, improper use or disclosure, unauthorised modification, unlawful destruction or accidental.
11) If I make a payment what data do you collect?
We may process information relating to transactions, including purchases of goods and services, that you enter into with us and/or through our website. The transaction data may include:

The transaction data may be processed for the purpose of supplying the purchased goods and services and keeping proper records of those transactions. You do have rights here is a brief summary:
- Access to the personal data we hold about you, free of charge in most cases.
- The correction of your personal data when incorrect, out of date or incomplete.
- That we stop using your personal data for direct marketing.
- That we stop any consent-based processing of your personal data after you withdraw that consent.

Whenever you have given us your consent to use your personal data, you have the right to change your mind at any time and withdraw that consent.

We must then do so unless we believe we have a legitimate overriding reason to continue processing your personal data.

To protect the confidentiality of your information, we will ask you to verify your identity before proceeding with any request you make under this Privacy Notice.
If you have authorised a third party to submit a request on your behalf, we will ask them to prove they have your permission to act.
15) When you do keep data how long do you keep it for?
Whenever we collect or process your personal data, we’ll only keep it for as long as is necessary for the purpose for which it was collected.
At the end of that retention period, your data will either be deleted completely or anonymised.
Some examples of data retention periods:
When you place an enquiry on the website, we’ll ask you to opt in to receive updates on goods or services. You can withdraw that consent at any time using the unsubscribe link in the emails. If you withdraw consent your information will be deleted from the mailing list.
- Natural Flow – Discovery call/skype/face-to-face
If you engage in a discovery session with us we might take very brief written notes. You can request a copy of those notes. If you do not take the coaching partnership further at that stage we will ensure those notes are fully anonymised. The contact details you may have provide us with as part of your enquiry for a discovery call will be kept for up to 2 years. However, we may ask you during that initial contact if you would like to receive information on our products and services. At that time you can elect to opt in with your contact details and always have the opportunity to opt out.
If you purchase and/or engage in an event run by us we will keep the personal data you give us for five years so we can comply with our legal and contractual obligations.
- Coaching Obligations
If you purchase and/or engage in coaching services with us we will provide you with a personalised coaching agreement, consent and terms. We will also provide you with the International Coaching Federation code of ethics. Working within this code of conduct and as part of our ongoing professional coach development we are required to ask for consent from every client to log:
- Coaching hours (paid/unpaid)
- Private or Corporate
This coaching log will last the career of the coach as the hours are a cumulative record. For a coach to progress in skill set and accreditation they must accumulate a certain number of hours and complete a number of additional training courses to attain the next level of accreditation.
You will be consented for this information to be held for as long as the purpose requires. You will be able to withdraw your consent at any time. Once the data is no longer required it will be deleted.
We will always respect your wishes.
- Coaching Communications
During a coaching partnership the coach and client will likely take written notes of which the client can request a copy from the coach. We will keep the data you give us for five years so we can can comply with our legal and contractual obligations
There could also be email correspondence and other social media platforms. The client will have either proactively engaged in communication on these platforms or agreed to having communication in this manner.
The communication regarding any coaching interaction on social media platforms will deleted within 2 years from the completion of the coaching partnership.
16) How can I use the site content?
You may access, download and print materials on this website for your personal and non-commercial use. You may not modify, copy, distribute, transmit, display, perform, reproduce, publish, license, create derivative works from, transfer, or sell any information, software, products or services obtained from this website without first obtaining written consent from Natural Edge Coaching Limited.

18) What happens in the event of a data breach?
We will report any unlawful data breach of this website’s database or the database(s) of any of our third party data processors to any and all relevant persons and authorities within 72 hours of the breach if it is apparent that personal data stored in an identifiable manner has been stolen.
